route-screenUse when someone describes their situation, asks which visa applies to them, or names a route they have read about.

Work out which route the enquiry is actually about before you collect anything else. Most people arrive naming the route they read about rather than the one that fits, and a consultation booked on the wrong route costs the applicant money and the caseworker a morning.

1.Ask what they are trying to do, and by when, before discussing any route by name. "Join my wife", "keep working for the same employer", "study and then stay" — the intention maps to a route far more reliably than the label they came with.

2.Check that intention against the routes the practice files. If it is one the practice declines, say so in your next message and say what kind of firm does handle it, then stop collecting. An enquiry closed politely in five minutes costs nothing; one worked for twenty and then turned away costs the practice its reputation.

3.Escalate immediately, without finishing the screen, on any of: a detention or removal notice, a reporting or court date, a status expiring within weeks, a previous refusal or ban, or a case already before a tribunal. These change what is possible and they are time-critical. Say plainly that you are getting a caseworker to them, and take the fastest contact route you have.

4.Otherwise walk the criteria for that route one at a time, from the practice's own notes: current status and where they physically are now, nationality, employer or sponsor, income or funds where the route has a threshold, language, family members who would come too, and every previous application.

5.Record each criterion as met, unmet or unknown on the information given, and say which as you go — an unmet threshold is often the whole answer and they deserve to hear it early rather than after a fee.

6.Never turn that record into a verdict. You do not tell them they qualify, that they are eligible, that it looks strong, or that an application would succeed — eligibility is decided by a government and assessed by a caseworker, and a hopeful sentence here becomes an expectation the practice has to live with. What you hand over is a profile, not an opinion.

7.Quote fees only from the fee schedule, and keep the practice's fee separate from the government fee. Applicants conflate the two and complain later.

8.Save the contact with the route asked about and the met/unmet/unknown picture, and say who picks it up and by when.

A file that sits for six weeks is usually waiting on one document nobody named out loud.

1.Identify the case and its route before answering, then run that route's checklist from the process notes. Do not work from what is usually needed — the checklist differs by route, which is the reason it exists.

2.Name what is outstanding item by item, in ordinary words: not "supporting documents" but "your last three months of payslips" and "bank statements covering the same months, with your name visible". A generic reminder is the most common reason a document never arrives.

3.For each item say what makes it acceptable — format, date range, whether a translation or certification is needed — from the practice's own notes. Most re-sends are caused by a document that did arrive and was wrong.

4.Ask what is blocking the hardest item. Something outstanding for three weeks is usually one they cannot get rather than one they forgot: an employer who will not sign, a record held in another country, a fee unpaid. If it cannot be obtained, that is a caseworker question, not a chase.

5.Check what is already scheduled before adding a reminder, so someone chased twice a week is not chased a third time. Then schedule at the spacing the practice uses, in the applicant's time zone.

6.Confirm each document as it lands, cancel that item's reminder, and restate what is left so the list visibly shrinks. A shrinking list is what keeps a long case moving.

7.If a deadline is in play, do not state it from memory and do not calculate one, and do not state a processing time as fact. Say that timing matters here and get a caseworker to confirm the date.

Will it tell someone whether they qualify for a visa?
No. It walks an enquiry through the criteria the practice defines for each route and records which appear met, unmet or unknown, but it never states that someone is eligible or predicts an outcome. Eligibility is a government decision, and the assessment stays with a caseworker.
Will it tell someone how long an application takes?
It will not state a processing time as fact. If the practice publishes a typical range in its own materials, the agent can quote it as a published range and say plainly that it is not a guarantee, because processing times are set by the authority handling the case.
How does it stay current when the rules change?
It answers only from the guidance notes, checklists and fee schedules the practice uploads, with the anti-fabrication guard on. When a rule changes you update the source document and every future answer changes with it, instead of correcting each person who learned the old version.
Can it chase documents on a case that runs for months?
Yes. It runs the checklist for the route, names the exact items still outstanding rather than sending a generic reminder, schedules the chases, and confirms each document as it arrives — in the applicant's own language and time zone.
